How to add direct bookings to your hotel without starting from scratch

If you already use a PMS, channel manager or booking platform, you may not need to replace them. First check what your system can do and how to connect it to a website that helps guests book.

A PMS, channel manager and booking engine are not the same

Hotels often use several tools for different parts of the process. Before changing your website, identify which tool manages each piece of information and when a booking is created.

PMS

Manages property operations: bookings, rooms, guests and, depending on the product, other internal processes.

Channel manager

Coordinates availability and rates across connected channels. Coverage depends on supported integrations and agreements.

Booking engine

The experience where guests search dates, choose an option and, where applicable, complete a booking or payment.

The key question isn't “which system should I replace?” but “how does a booking move from my website into my operations?”

Three ways to add direct bookings

  1. Link to your existing booking engine

If your provider offers a public booking URL, your website can link to it with a clear button, even without a new technical integration. It's often the simplest starting point. Test how it works on mobile and whether dates are preserved.

  2. Embedded widget or experience

Some providers offer an embedded date search, button or booking experience inside your website. For example, Cloudbeds documents links and integration options. Available options may depend on your subscription and product version.

  3. Custom integration only when justified

If the first options don't support the required journey, evaluate provider APIs and permissions. This means verifying authentication, room types, rates, availability, bookings and error states. Never assume a PMS has a public API or that every booking engine is connectable.

Important: Showing synchronized availability isn't the same as a confirmed booking. The system owning inventory must define what confirms it and how duplicate bookings are prevented.

Checklist before buying or redesigning

  • Current provider: name your PMS, channel manager and booking engine, if any.
  • Actual availability: where rooms, dates, rates and restrictions are updated.
  • Confirmation: what the guest and reception receive, and when a booking becomes firm.
  • Payments: who charges, under what conditions and who handles cancellations or refunds.
  • Mobile experience: how many steps it takes to search dates and complete a booking on a phone.
  • Technical access: documentation, authorized credentials and official provider support.
  • Measurement: distinguish clicks on “Book,” booking starts and confirmed bookings.

Does direct booking remove commissions?

Not necessarily. A direct booking may avoid a specific intermediary commission, but booking engines, payment processing, advertising and technology services have their own costs. Read your contracts and compare total acquisition costs, not just a commission.

To assess your website, track at least property page visits, clicks to the booking engine, booking starts and confirmed reservations. If the engine is on another domain, check measurement compatibility and each provider's privacy requirements.

Frequently asked questions

Do I need to change my website?

Not always. If your site is clear, fast and mobile-friendly, improving navigation, content and access to the booking engine may be enough.

Can I keep my existing PMS?

In many cases, yes. First check whether it has its own booking engine, integrates another one or allows an authorized connection. It depends on the actual tool.

Can this work through WhatsApp?

WhatsApp helps answer questions and receive inquiries, but doesn't replace synchronized availability and booking confirmation. The journey must make it clear whether a guest is asking or booking.

How do I know it works?

Test each step as a guest: search, dates, selection, confirmation and reception communication. Then measure real bookings, not just clicks.

THE NEXT STEP

Let's first review what already works.

Tell us which systems your property uses, how inquiries arrive and where booking opportunities get lost. We'll assess whether connecting existing tools is enough or new development is needed.

We don't offer a specific integration until provider capabilities and permissions have been verified.
